ProTrak International caters exclusively to traditional and alternative investment managers. Our CRM solution is tailored to your needs "out of the box", thereby not only minimizing costly and time-consuming industry-specific customization, but also significantly reducing the implementation period. ProTrak Advantage contains at least 95% of the data fields required by investment management professionals. Each client organization may re-define any/all data field labels to coincide with corporate terminology and individual users (sales, client services, etc.) can customize their desktop views with respect to the placement and amount of data they wish to expose for each profile type. DOCUMENT MANAGEMENT AND MICROSOFT INTEGRATION
ProTrak fully supports integration with Microsoft applications including Word, Excel, Outlook and SharePoint. Automated bi-directional synchronization with MS Outlook e-mails, contacts and appointments is supported. E-mails sent and received are effortlessly imported into ProTrak as Activities and any attachments are linked directly to the Activity for one-click access. For compliance purposes the Outlook e-mail header is stamped into the ProTrak activity.
Any type of Windows supported document (agreements, contracts, PDF reports, video or sound files, etc.) can be linked to investor or contact profiles through standard network protocols or SharePoint integration. This feature is recognized as a major productivity enhancement and a key relationship management tool since users always have important prospect and client documents at their fingertips regardless of who generated the information.
MANAGE YOUR CONSULTANT AND THIRD PARTY RELATIONSHIPS
ProTrak Advantage CRM lets you easily manage third party, consultant, and inter-company relationships using a many-to-many relationship model. Clients and prospects can be associated with, and linked to, any number of other firms such as consultants, trustees, brokers, RIAs, affiliates or subsidiaries. Individual contacts can also be linked to many organizations or firms in different “roles”. For example, a CFO at one company might be associated with a foundation as a Trustee, and associated with yet another company as a Director. Broker, consultant and/or advisor contacts are easily linked to investor accounts so that you can immediately highlight the individuals that have referred business to you, and see how much they have referred. Notes, activities and follow-ups can be attached to more than one company or contact, or to the appropriate consultant, without having to enter data twice.
MASS COMMUNICATION AT YOUR FINGERTIPS
ProTrak’s Report/Mail Distribution Center lets you quickly and easily create and distribute any type of mass communications. Custom letters, form letters, e-mail, faxes and PDF reports with custom watermarking can be generated directly from ProTrak. The associated documents are automatically posted to each prospect/investor and/or contact as an activity for historical reference. Personalized client emails can be generated using account-specific merge fields such as account balances, performance data, etc..
TARGET PROSPECTS AND PERFORM MARKET ANALYSIS
ProTrak includes a powerful query engine with a user-friendly interface. You can generate ad-hoc custom reports based on virtually any selection criteria – from prospects with specific attributes to investors who have not been contacted in the past six months, as an example. The query engine includes the ability to link outside files such as performance data or market valuations to the ProTrak Advantage database. Once linked, investor reports and mailings can be produced on the combined data.
IMPROVE PRODUCTIVITY AND WORKFLOW PROCESSES
ProTrak’s Automated Workflow Commands let you create “one click” workflow process templates that are tailored to the business rules or processes of your firm. Workflow Commands can be created for single event processes like emailing offering documents or due diligence questionnaires or multi-task events like a New Client Take-on or RFP response. For multi-task events, executing the Workflow Command will instantly create the appropriate Follow-ups for multiple staff members. Workflow Commands greatly increase productivity while standardizing procedures and minimizing errors.
