FLEXIBLE AND ACCOMMODATING
ProTrak is a ready to use, industry-specific CRM system. ProTrak
Advantage includes an optional Client Services module to allow for
the management multiple account relationships, fee schedules, performance
data, asset and holdings history, benchmarks and guidelines and
other pertinent information. ProTrak is usually implemented as a
stand-alone, complete CRM/SFA solution, though additional customization
can be provided at any level. Functionality is available to automatically
update any of the client related fields such as account and market values

IN THE OFFICE
OR ON THE ROAD
Whether you are located in your firm's head office or satellite
office, working from your home office or traveling with your laptop,
ProTrak is available to you. ProTrak is deployed in a variety of
configurations:
1. ProTrak Enterprise Network - A network server license for users
located in the main office of an organization (i.e. in offices which
house the majority of the company’s data). These offices may need
to share their relationship management data between in-house users
and/or multiple offices, branches or satellite locations.
2. ProTrak Remote Network - A network server license for users who
are located in a satellite or a branch office. These offices may
want to maintain their data in their own locations, but synchronize
it with the main office on a periodical, or "as needed" basis.
3. ProTrak Mobile - an add-on mobile license for users who work
in either the main or a remote group office, and need to take their
data on the road (offline).
4. ProTrak Remote/Mobile - for a single user representative who
does not work in the main office and is not connected to a remote
network. Typically he/she will have access to ProTrak on a mobile
basis, and will periodically synchronize with the main or group

ProTrak fully supports MS Office applications such as Word, Excel,
and PowerPoint. The system integrates with, and allows you to attach
and launch, any MS Windows supported file format, including Outlook,
Adobe Acrobat, video and sound files. This feature is recognized
as a major productivity enhancement, as well as a key relationship
management tool. Users always have key prospect and client information
at their fingertips (agreements, contracts, letters or e-mails sent
and received, etc.), regardless of who generated the information.
MANAGE YOUR THIRD
PARTY AND CONSULTANT
RELATIONSHIPS
ProTrak contains a link to your Consultant and Associated Company
databases, facilitating ease of communication with pension consultants
and other third party intermediaries. The system helps you easily
manage third party, consultant, and inter-company relationships
using a many-to-many relationship model. Clients and prospects can
be associated with, and linked to, any number of other firms such
as consultants, trustees, brokers, affiliates or subsidiaries. For
example, a client might be associated with a bank, where the bank
is acting as a Custodian. In another situation the same bank might
be associated with another client as a Master Trustee. Individual
contacts can also be linked to many organizations or firms via ProTrak.
For example, a CFO at one company may be associated with a Foundation,
where he is a Trustee, and associated with yet another Corporation
where he is a Director. Notes, activities and follow-ups can be
attached to more than one company or contact, or to the appropriate
consultant, without having to enter the data twice.
A unique feature of ProTrak is the ability to automatically generate
multiple activities or follow-ups, and to link one activity to the
next, so that the source of each entry can be quickly found. This
creates a “chain” of activities and follow-ups in chronological
order, as the tasks are completed by the user.
Individual contacts or companies listed in ProTrak are able to have
any number of addresses, phone numbers and other contact details
assigned to them, and an unlimited number of consultants and associated
companies can be linked to any prospect or client, to facilitate
easier communication.
EASY MASS
COMMUNICATION AT YOUR
FINGERTIPS
ProTrak allows you to quickly and easily create and distribute mass
communications. Custom letters, form letters, e-mail and faxes can
be generated directly from ProTrak, to any number of contacts. The
associated documents (and any attachments) are automatically posted
to each company and/or contact as an activity for historical reference.
Mass email is automatically launched via Outlook or Lotus Notes,
with each email saved in both ProTrak (as an Activity) and in Outlook/Lotus
Notes (in the Sent folder), in order to avoid having to enter data
in two places.

ANALYSIS
EASILY
ProTrak utilizes a powerful query engine within a very user-friendly
interface. You can generate custom reports within ProTrak or choose
to export query results to Excel or a report writer such as Crystal
Reports. The query engine includes the ability to link outside files
such as performance data or market valuations to ProTrak Advantage database.
Once linked, reports or customer mailings
can be generated on the combined data. Industry marketing directories
such as Nelson's and MMD can also be queried, making it easy and
efficient to target industry prospects. ProTrak's unique filtering
capability allows further targeting with one single click of the
mouse.
POWERFUL
TECHNOLOGY FOR UNLIMITED
USERS
ProTrak Advantage uses Multi-Tier Architecture based on DCOM and
ADO, where the Business Rules are separated from the Data Base and
the Client. This allows for a lower cost of ownership and better
scalability. It also means a more open environment using proven
technology - MS-SQL 7.0 or 2000. The Multi-Tier Architecture utilizes
load balancing by creating multiple application servers. This option
may become very important as some organizations grow, scaling up
their small / medium user base to a large user base. The use of
this technology enables the ProTrak team to develop a new front-end,
thereby allowing clients to access their information in the ProTrak
database through the Internet browser.
